Reminders and recall for a veterinary clinic that is already at capacity

Vaccines due, wellness visits overdue, dental recommendations never scheduled. Every one is a client who already trusts the clinic. Consolidators work that list with a call centre. An independent clinic can work it with an engine, in its own voice.

The most valuable list in a veterinary clinic is the one nobody has time to work: pets due for vaccines, wellness visits overdue, dentals recommended at the last exam and never booked. Every entry is a client who already trusts the clinic and a visit that already belongs to it. The corporate groups work that list with centralised teams. The independent clinic works it when the front desk has a quiet hour, and the front desk does not have one.

Why it goes unworked

The team is at capacity, the phone is ringing, and the 411 Locals study found 62% of small-business calls not answered by a person as it is. Adding outbound recall calls to that front desk is not a plan. Harvard Business Review's audit of 2,241 companies found the average firm took 42 hours to respond to an inquiry; a client who finally calls to book the overdue visit and reaches voicemail is a client the group across town will happily take.

Recall that runs in the clinic's voice

Clients contacted automatically when a pet is due, by text or call according to their consent, in the clinic's own tone, with two open times offered. Replies booked directly into the practice management system inside the rules you set for doctor and room. Dental and wellness recommendations followed up at the interval the doctor chose. A second touch, a third, then a note for the team. Cancellations backfilled from the same list. Every contact logged to the patient record.

Where the human stays

Any reply that describes a symptom goes to the team with the record open, never answered by the engine. Clients who ask for a person get one. Emergencies follow the clinic's own after-hours instructions. Stanford's AI Index reports measured productivity gains of 14 to 26 percent in customer support, the closest analogue to this work; the gain comes from the routine contacts handled, so the team's time goes to the ones that need judgment.

Measure

Baseline a month: pets overdue by category, recall contacts made, recall visits booked, compliance on recommended dentals, front-desk hours on outbound. Deploy, then compare. Recall is revenue the clinic already owns; the question is whether it is worked.
